Privacy notice

Ayrshire MOT Ltd (company SC758533) runs this website. Contact us at enquiries@ayrshiremot.com or Unit 69, Third Avenue, Heatherhouse Industrial Estate, Irvine KA12 8HN about your personal information.

Enquiries and bookings

When you send an enquiry we collect the details you provide: your name, contact details, vehicle registration, requested work, date, promotion code and message. We use them to respond, quote, arrange work and keep a record of our conversation. Our legal basis is taking steps you ask us to take before a contract, or our legitimate interest in answering and managing enquiries. Please do not send sensitive personal information in the message box. If you ask us to collect and return your vehicle, we also store your home address and the contact details you give us for collection, and use them only to arrange collecting and returning your vehicle.

Training Academy enquiries

For training enquiries we collect your name, business name if supplied, email or phone number, chosen course and date, candidate numbers and message. Ayrshire MOT stores the enquiry and sends a notification to enquiries@ayrshiremot.com. We use these details to answer your request and coordinate training delivered by Brakemaster ATS Ltd, sharing relevant details with the training provider as needed to arrange the course you ask about. The enquiry retention and information rights described below also apply. Optional academy email and text marketing choices are separate and can be withdrawn by contacting us.

Careers and job applications

When you apply for a vacancy, we collect your name, email address, your telephone number, any CV you attach and your answers to that role’s application questions. We store your application in our website system and send a notification with your name, role and a secure admin review link to the garage inbox using our email provider. Full answers and CVs are not included in the email. Only authorised garage administrators can review and manage applications. We use these details to assess your suitability and contact you about recruitment, based on steps you ask us to take before an employment contract and our legitimate interest in managing recruitment. Please do not include sensitive personal information in your answers. Application records, attached CVs and internal recruitment notes are scheduled for deletion 12 months after submission, with cleanup running daily. Read our recruitment privacy notice for full details, including how to request access, correction or earlier deletion. Application details are not used for marketing.

My Garage customer accounts

If you choose to use My Garage, we keep your verified sign-in identifier and email, the link between that login and a portal profile, membership role and status, activation-code records (type, partial hint, creation and expiry dates, status, use counts and any optional customer name, invoice reference or registration added by staff when issuing it), unsuccessful activation attempts used to prevent misuse, profile and contact details, vehicles and dates you enter, short work summaries and costs recorded by staff, loyalty and redemption records where enabled, and feedback and replies. The full activation code is not retained in readable form after it is issued.

A new-customer code creates a personal profile when it is redeemed. An advanced existing-profile code or a fleet code connects the verified login that redeems it to the selected profile. Each fleet user has a separate login and membership. A campaign code creates a blank starter profile and is not used to retrieve or reveal an existing customer's history. Authorised administrators can issue and revoke codes, and pause or restore individual logins.

We use this information to provide the account, show authorised vehicle and service history, manage any loyalty offer, answer feedback, correct errors and protect against misuse. When authorised staff change a portal record, we record who made the change, when, what fields changed and the stated reason. Our lawful bases are our legitimate interests in running an accurate and secure customer service and, where relevant, steps you ask us to take in arranging garage work. The service is optional. Business and fleet profiles may show vehicles and maintenance records but do not earn points by default.

Vehicle dates and work summaries may be entered manually. They are not a substitute for your invoice or official MOT record. Automatic reminder emails are not active in this beta; if introduced, we will explain the service and use your reminder preference. Marketing messages are separate from service reminders. We keep account and access records while needed to provide the service, resolve queries, prevent misuse and meet applicable accounting or legal duties. When access closes, we review what must be retained and remove what is no longer needed.

Feedback and marketing

You can leave optional feedback about this website and our service — a star rating, a comment and a name you choose to give. Feedback is private to garage staff and helps us improve the website and how we handle enquiries. You do not need an account to leave feedback. If we would like to show a comment publicly as a review, we will ask for your permission separately before publishing it.

After an enquiry or completed work, we may contact you once to ask about your experience. Our legitimate interest is improving our customer service. A feedback request will not include offers or other promotional material, and you can object at any time.

We send promotional emails or text messages only where you separately choose the relevant option. This may include garage news, offers, and MOT or servicing information. Each choice is optional, does not affect the service you receive and can be withdrawn at any time using the unsubscribe or opt-out instructions in the message, or by contacting us. We keep a record of when, where and how the choice was made. After an opt-out, we may retain the minimum information needed on a suppression list so that we respect your choice.

Who handles the information

The enquiry is stored in our website system and emailed to our garage inbox. Base44 provides website and database hosting and email delivery; our email provider processes messages for delivery. Your chosen sign-in provider authenticates your login. Authorised garage staff can manage customer profiles, access codes, portal logins, vehicle records, visit summaries, points and feedback; customers should only see records for profiles their verified login is authorised to access. We do not sell enquiry details. We may share the collection address, contact details, vehicle registration, requested service and agreed collection time with our dispatch system when staff arrange collection and return for you. We may also share information when required by law or to provide work you request. If you use the registration lookup on the enquiry form, we send the registration to a third-party vehicle data service and store returned vehicle details with your enquiry. Some suppliers may process information outside the UK. Where a restricted transfer occurs, we rely on applicable adequacy regulations or contractual safeguards such as the UK International Data Transfer Agreement or UK Addendum. Contact us for further information about those safeguards.

Visit counts and the map

With your consent, we count the pages you view and a random session identifier to show simple visit totals to garage staff. To limit automated misuse of public enquiries, job applications, vehicle lookup and visit counting, we temporarily store a one-way identifier derived from connection data with a short request count; it is not used for marketing. We do not record your name or form contents in those visit counts. If you allow the embedded Google map, your browser contacts Google, which handles data under its own privacy terms. You can change your choice in cookie settings.

How long and your choices

We keep enquiries for as long as reasonably needed to deal with them, any resulting service and applicable record-keeping duties. You can ask to see, correct, delete, restrict or receive a portable copy of your information where the law provides those rights. You can object to processing based on legitimate interests, including a feedback request, and withdraw consent for marketing, optional visit counts and maps at any time. Email enquiries@ayrshiremot.com. You can also complain to the Information Commissioner's Office at ico.org.uk.
